We are looking for an Executive Assistant to provide in-office and virtual support to Little Spoon’s CEO and other members of our senior leadership team. Using your previous experience, you’ll not only own scheduling, efficiency, and organization to the CEO’s daily routine, you’ll also foster relationships with and unlock productivity across the greater business. 

You will:

  • Empower and optimize the CEO’s day to day workflow, acting as an activator – always staying a step ahead of the CEO and team’s needs
  • Act as a point person to assist with team requests and help problem solve, helping to keep the CEO on track and ensure teams are never blocked
  • Manage ever-changing schedules, including prioritizing meeting requests, coordinating conference calls, meetings, and travel bookings for senior members of the team
  • Plan, coordinate and own calendar invites for a variety of meetings including 1:1s, small and large groups and all-hands meetings
  • Develop and maintain positive working relationships across internal team and stakeholders
  • Act as an accessible gatekeeper supporting the CEO and positively contributing to company culture. Develop a strong understanding of ever-changing Company and team priorities
  • An ‘always-on’ mentality with the ability to react to time-sensitive emails and phone calls which require checking in online in early mornings and evenings and outside regular office hours when necessary
  • Create and circulate agendas ahead of meetings, attend meetings to take notes and circulate follow up action items as needed
  • Coordinate and plan calls and meetings with external business contacts including investors and board members
  • Assist with planning and execution of company and team events ranging from small gatherings to large multi-day off sites
  • Compose and edit emails and support with managing inbox as needed
  • Disseminate communication to the greater Little Spoon team as needed. Maintain keen attention to detail with an appreciation for clear, creative and on-brand communication
  • Track expenses and assist with submitting expense reports
  • Run point on or assist with other projects as assigned. We are a fast-paced growing company who prides ourselves on a ‘roll-up-your-sleeves’ mentality
  • Work from Little Spoon HQ in NYC at least 2-3 days per week and support ongoing office management needs
  • Ensure in-person meetings are executed in an organized and prepared manner. Greet office guests, ensure proper meeting space and supplies ahead of time
  • Overseeing other administrative workflow across the company, including managing a remote administrative team member and providing teams with day-to-day operational support including sending sample requests, reviewing and entering invoices and other ad-hoc requests to elevate productivity

  • Experienced with 5+ years of EA work under your belt

  • Technologically proficient in Microsoft Outlook, Google Drive (Docs, Slides, Sheets) Slack, Expensify
